Club Payment & Bursar Refund Request Form
To request a club reimbursement, a payment for services*, or an advance of club funds, please follow the directions below.
- Fill out the two-page Club Payment & Refund Request Form. On the Bursar Refund Request Form (page 2), you will either check the ACH box for Caltech students or Check Request box for services and non-Caltech payees.
- Send Club Payment & Refund Request Form to clubs@caltech.edu with scanned copies of receipts in the same PDF file.
- You will receive two email confirmations:
- When the payment request has been approved.
- When the refund request has been processed. For Bursar Quick Pay Instructions, please visit http://bursar.caltech.edu/club-accounts/bursar-quick-pay.
*Please note that payment for services (e.g., instructors, on-site vendors, etc.) require a W9 form be filed with the Procurement office prior to services being rendered.
Bursar Account Form
Complete the Bursar's Club Account Form and submit it to the Bursar's Office at bursar@caltech.edu to update your club officer information if it should change during the academic year.
Please also notify clubs@caltech.edu of any club officer changes so that club related notifications can be sent to the current club officers.
PTA Transfer Request Form
Students are not able to place an AiM request with Facilities with a club or house account number. To request a PTA from the Student Activities and Programs Office, please fill out a PTA Transfer Club Request (Sections 1, 3, and 4) and email it to clubs@caltech.edu.
Once the form is received, you will receive a response with a PTA to use for your AiM request. Please make sure to forward the AiM final invoice after your event. The Bursar will transfer the cost on the work order from your club account back to the PTA provided.
ASCIT
ASCIT provides club funding to clubs with participation from currently-enrolled undergraduate students. Clubs can apply for funding at the beginning of the Fall term for general non-event needs. Registered clubs will be contacted via email regarding the initial disbursement. Throughout the year, registered clubs may submit event funding requests by emailing the event funding form to the ASCIT Treasurer. Each form of funding will require a pitch from a club representative. For more information, please see ASCIT's Club Funding Guide. GSC
GSC provides club funding to clubs with participation from currently-enrolled graduate students. Club funding can be applied for once a year, before the start of the academic year, and supports general club expenses, as well as events. If you have any questions, please feel free to email gsctreasurer@caltech.edu.
Retreat, Club and Organizational Development Fund
Note: The retreat fund is currently unavailable for the 2020-2021 academic year due to programming restrictions associated with COVID-19.
This fund is available for registered student groups who are in good standing with the Institute. It provides up to $1,500 per group for the purposes of a retreat, competition or conference. Please review the document regarding this fund to apply: Retreat, Club and Organizational Development Fund.
