Building Policy

General Guidelines
The Hameetman Center is intended to be a communal space for all to enjoy. It is dedicated to student interaction through social engagement, study groups, and participation in visual and performing arts. The Hameetman Center Building policy facilitates these opportunities while also maintaining the space and maximizing the safety and comfort of all. Please help us maintain the Hameetman Center and make this an attractive and welcoming space for our community.
- Groups are expected to leave spaces clean and ready for the next set of users.
- Limit advertising to designated posting areas. Any flyers posted on glass, doors, or wall spaces will be taken down immediately.
- Alcohol is not permitted.
- All guests are expected to follow Caltech's policies.
- Report any damage or missing furniture immediately to rooms@sap.caltech.edu.
- Cleaning or repair fees may be assessed in cases of misuse.
Availability and Reservations
The multipurpose room, conference room, and club rooms are currently available for reservation through Winter 2020. Spring reservations will open at the end of March. To view availability and submit a room reservation request, please visit the room scheduler website at rooms.sap.caltech.edu. Requests for reservations will be reviewed and are subject to approval. Please allow 2-3 business days for processing.
Event organizers for large scale events (e.g., reservations in the multipurpose room, all-day events, catered events or those involving food, etc.) are responsible to submit an event request to Facilities via the AiM Customer Portal on Access. Submitting an event request to Facilities also ensures the room will be cleaned in time for an event which immediately follows another reservation on the same say or when a reservation has taken place at the end of the previous day. Your reservation time should include adequate time for set-up and clean-up (we recommend 1 hour for set-up and 2 hours for clean-up). Please provide as much detail as possible in the description of your event request.
Student-planned events where 50 or more people will attend must be registered and approved through Student Affairs at spa.caltech.edu.
Outside of the reservation process, the multipurpose room, conference room, and club rooms #1, #2 and #4 are open to the community and students may study or work in these rooms without a reservation; however, please respect that if someone arrives with a reservation, the occupants are required to leave the room. Club room #3 is Caltech's quiet room. This room is designated for meditation, worship and reflection; reservations for this room should fall in line with these purposes. Groups or individuals without reservations and/or who are in violation of the building policy can be asked to leave.
Furniture and Equipment
Furniture may not be moved between rooms, nor may lounge furniture be moved from communal spaces. A small supply of supplemental tables and chairs are available in the second story storage closet; these may be accessed directly by the community and must be returned to the storage closet immediately following use. Please contact Facilities for any additional furniture or set-up needs you may require.
Hameetman spaces do not have AV equipment; please contact Academic Media Technologies at amt@caltech.edu to inquire about AV equipment rentals.
Storage cabinets in each of the rooms are available for short-term use by event organizers; these are unassigned and do not have locks. These should not be purposed for long-term or secure storage needs. All items must be clearly labeled with contact information.
Dining Areas & Performing and Visual Arts Spaces
The main floor of the Hameetman Center is designed for community use. The area adjacent to the Caltech Store at the south end of lounge and the patios on the east and south sides of the building can be reserved through Caltech Dining Services. The Performing and Visual Arts (PVA) spaces are not open to general community reservations. The Recording Studio, Frautschi Rehearsal Hall and the PVA storage place all require supervision from a member of the PVA faculty or administration. Artwork in the Hameetman Center is created by students and managed by a special committee.
Building Access and Monitoring
The building is available for use between 7 a.m. and 2 a.m. each day. The doors to the outside are unlocked between 7 a.m. and 10 p.m. on weekdays and are accessible by Caltech card between 10 p.m. and 2 a.m. on weekdays and throughout the weekend. The building is patrolled by Security, who also monitor the cameras placed in the building. After 10 p.m., Security officers will lock up the building and will be checking IDs.
The Hameetman Center is managed by the Hameetman Building Committee. The membership of this committee includes representatives from Dining Services, Facilities, Student Activities and Programs, Visual and Performing Arts, and Security.
